Draft venue terms for bookings at Clayton Community Centre. Your confirmation email will state any event-specific conditions.
Important: a form submission is only a request. A contract begins when the centre approves it in writing and states the amount due.
1. The hirer and the event
The lead hirer must be at least 18, remain responsible throughout the booking and provide accurate information about the activity, attendance, suppliers and risks. The booking may not be transferred or used for an undisclosed purpose.
2. Charges and security deposit
Hall hire is £70 per hour unless a written discount is approved. A £100 refundable security deposit is normally compulsory. Optional cleaning is £50. Buffet charges are quoted separately. An authorised 100% discount code may waive the full displayed estimate, including the deposit and selected cleaning, but it does not waive the hirer’s responsibility for damage, missing items, extra cleaning, overrun or another breach. Where a deposit is paid, it is returned after inspection, less only reasonable, evidenced costs; we will explain any deduction.
3. Approval, payment and cancellation
The date is not reserved until written approval. Payment timing and method will appear in the confirmation. If the hirer cancels 14 or more days before the booking, the hire charge is refunded. At 7–13 days, up to 50% may be retained; under 7 days, a higher amount may be retained only to reflect the centre’s reasonable actual loss and efforts to re-let. The security deposit remains refundable unless a permitted deduction applies. If the centre cancels without hirer fault, amounts paid are refunded.
4. Care of the premises
The hirer must leave the hall and equipment in the agreed condition, use fixtures safely, prevent nuisance and report damage immediately. The hirer is responsible for reasonable repair or replacement costs caused by the hirer, guests or suppliers, except fair wear and tear.
5. Safety, capacity and emergencies
Follow the confirmed capacity, emergency plan, fire exits, staff instructions and no-smoking/no-vaping rules. Exits must remain clear. The centre may stop an unsafe activity. The hirer must provide suitable supervision and promptly report accidents or hazards.
6. Children and safeguarding
If children or adults at risk attend, the hirer remains responsible for appropriate supervision, safeguarding arrangements, permissions and any legally required checks. The centre may request evidence before approval.
7. Alcohol, entertainment, food and external suppliers
Alcohol, regulated entertainment, late-night refreshment or other licensable activity requires prior written approval and any necessary licence. Caterers and suppliers must be disclosed and follow food safety, allergen, insurance and electrical-safety requirements relevant to their work.
8. Insurance, conduct and liability
Organisations and commercial hirers may be asked for public-liability insurance. Illegal, discriminatory, dangerous or seriously disruptive activity is prohibited. Nothing in these terms excludes liability that cannot legally be excluded, including liability for death or personal injury caused by negligence.
9. Personal data and complaints
Booking data is handled under our privacy notice. Raise a concern promptly by contacting the centre so it can be investigated fairly.
