This draft notice explains how information submitted for bookings and programme applications is used.
What we collect
For bookings, we collect contact and address details, event purpose, dates and times, attendance, suppliers, accessibility needs, selected options, declarations and payment-related estimates. For programmes, we collect the participant’s name, date of birth, sex/gender, group choice, parent or responsible contact, emergency details, photography choice and relevant medical, allergy, disability or support information.
Why we use it
We use ordinary personal data to take steps at your request, administer an agreed service, protect people and premises, and meet legal obligations. Health/support information receives additional protection and is used with explicit consent to assess needs, support safe participation and respond in an emergency.
Photography and optional news
Photography/video consent and marketing consent are separate choices. Refusing either does not affect a programme application. Consent can be withdrawn for future use by contacting the centre.
Who can access it
Access is limited to people responsible for managing centre enquiries and bookings, and service providers needed to operate the website.
How long we keep it
Unsuccessful enquiries should be deleted after the centre’s defined short review period. Confirmed bookings and participation records are kept only for the documented operational, safeguarding, tax, insurance or legal period that applies. The trustees must approve and publish the final retention schedule before public launch.
Your rights
Depending on the circumstances, you may ask for access, correction, deletion, restriction, objection or portability, or withdraw consent. Contact the centre through the contact page. You may also complain to the UK Information Commissioner’s Office.
Before public launch, add the legal organisation/controller name, a direct privacy contact, full lawful-basis table, processors/international-transfer details, retention schedule and ICO complaint link. This draft is not a substitute for the centre’s approved data-protection policy.
